How to send an electrical RFQ that gets a fast, accurate quote

A practical checklist for procurement and stores teams sending multi-line electrical and MRO RFQs.

Most delays in industrial quotations come from missing details: an unknown make, a missing rating, or a quantity unit that is not clear. A complete RFQ gets a complete quote the first time.

Checklist

  1. Send the list as Excel if you can - one line per item, with columns for description, make, part number, unit and quantity.
  2. Give the make and catalogue / part number for switchgear and control items. A photo of the old item's nameplate works too.
  3. State ratings: current (A), voltage, poles, coil voltage, sq mm, SWG - whatever defines the item.
  4. Say whether alternative makes are acceptable, and which ones are not.
  5. Add the required date and the delivery location (plant and district).
  6. Mention your commercial terms: GST number, billing entity, payment terms and any vendor code.
  7. If the RFQ came from a portal, include the portal RFQ number so both sides can track it.

What a good quotation should give you back

  • Line-by-line rate with make, unit and GST
  • Freight / delivery basis
  • Delivery estimate per line
  • Validity of the quotation
  • Clear marking of any line that is not quoted, or quoted in an alternative make
